The Fraternity staff is looking forward to your arrival in Iowa City next week! I wanted to take a moment to give you some information about your upcoming trip to Iowa City. It is a bit too early to see the weather forecast, but it will most likely be warm outside! We do not have any events scheduled outside other than a one activity on Sunday evening. The majority of our time will be spent indoors in the air conditioning. Depending on how “cold” you get, you may want to consider bringing a sweater/sweatshirt as I’m not sure how the temperature is regulated in the Union.

I’m sure you have some questions, so here is some information that will help you with your preparations!

------ DCLC Dates ------

The actual dates of the DCLC will be July 29 – August 1, 2011 at the Iowa Memorial Union.

You should plan to arrive in Iowa City between 4:00pm and 5:00pm. Dinner will begin at 5:00pm and last until 6:15pm. The first session is at 6:30. A full agenda and itinerary will be emailed to you before the end of this week.

If you are departing on July 31, you will let us know what time you are leaving during registration. If you are departing on August 1, the program will end at 12:00 (noon) so you will be free to depart anytime after that – or we will make sure you get on a shuttle bus at an earlier time to catch your flight out of CID.

------ How do I receive my travel grant and/or reimbursement for registration depost? ------

If you were approved for a travel grant, you should have received an email detailing the amount you qualified for. Provided you show up and attend the entire DCLC, a check will be presented to you before you depart on Sunday or Monday. It should be noted that skipping sessions for unexcused reasons, or violating the behavioral compliance agreement (details below) will result in a forfeiture of your travel grant and/or deposit.

------ I’m flying… what do I do when I arrive at the airport? ------

Jeff Melando (319-321-6725) and other staff members will be greeting you at the airport. They will have DCLC shirts on so you can recognize them. They will either direct you to a seating/waiting area... or to the shuttle bus that will take you to Iowa City. Depending on your arrival time, you may have to wait until the shuttle bus arrives. We have done our best to keep your wait time to a minimium.

------ What if my flight is delayed or cancelled? ------

We will have staff members at the airport tracking each and every flight. Should your flight be delayed or cancelled, please call Jeff Melando as soon as you find out.

------ I’m Driving to Iowa City what do I do? ------

Parking is available in the parking garage across the street from the Iowa Union/Iowa House Hotel. Since you will be a hotel guest, there will be no charge for parking. You just need to pick up a voucher at the front desk of the hotel before you depart.

------ Am I Responsible for Food or Lodging? ------

No. To support maximum attendance, the Fraternity will cover your onsite meals and lodging for the entire weekend.

------ Will dinner be served on Friday Night? ------

For those flying or driving: If you arrive at the Iowa House before 5:30 pm, dinner will be provided for you. If your flight arrives in the evening (or if you will be driving but arriving after 5:30), be sure to eat before you arrive.

------ What should I wear/what should I pack? ------

Dress casual. The staff & facilitators will be wearing jeans, collared shirts, sweaters, etc. The attendees are free to wear jeans, hoodies, sweatshirts, etc. We encourage you to be comfortable! Please remember that you will be going to an official Fraternity event so use your judgment when packing t-shirts/clothes with inappropriate slogans or meanings.

------ Do I need to bring toiletries or towels? ------

Any personal items will need to be brought with you. The lodging accommodations will provide you with towels, linens, pillows and one bar of soap. There is a closet at the end of each hall with extra linens and pillows.

------ Will I have a Roommate? ------

Yes. We encourage you to use that opportunity to get to know some your Brothers from the U.S. and Canada!

------ Is there a gym where I can work out? ------

Yes, but you will need to go with a staff member, facilitator or approved group. Details will be provided at registration.

------ Will there be time to socialize? ------

Yes, and we encourage it! The Fraternity will provide food, games and entertainment on Saturday and Sunday evenings. It should be noted that the DCLC is a substance free event/weekend. Attendees are expected to adhere to the agenda and behavioral compliance agreement (signed by attendees on site). The use of alcohol and/or illegal substances on or off the premises will result in an immediate dismissal from the DCLC; including a forfeiture of any travel grants and/or deposits paid during registration. Dismissal details will be at the discretion of the Executive Director and/or DCLC Coordinator.

------ Anything else? ------

Print this email and bring it with you in case you need any of the information. I would encourage you to save a few numbers into your phone. The first would be Jeff, so you can let him know of any potential delays in your travels (if you are flying).
